NOD Notice of pre Departure

The NOD notification is used to provide pre-departure information for a vessel departing from a Finnish port. The notification forms part of the pre-departure information requirements and must be submitted for the port call before the vessel's departure.

The NOD notification brings together the key departure-related information for the port call at a general level. More detailed, subject-specific information is submitted in separate notifications where required. For example, the numbers of passengers and crew members are reported in the NOD notification, whereas more detailed passenger and crew information is reported in the PXD and CWD notifications.

Official confirmation of departure

The declarant's statement provided in the NOD notification serves as the official confirmation that all required pre-departure information has been submitted.

First complete the NOD notification and save it as a draft. Once all other required departure-related notifications, excluding the ATD notification, have been submitted, return to the NOD notification, confirm the departure notification in the Confirm departure notification (DE-003-07) field and submit the notification.

Depending on the port call, the notifications required for departure may include PXD, CWD, CGD, HZD and STD.

Required fields

Additional information for the formality DE-003-01

Complete this field if you wish to provide additional information related to the notification that cannot be reported in other fields. You may, for example, provide additional information relating to the vessel's departure or the processing of the notification.

If you have nothing specific to report, leave the field empty. Do not repeat information already provided in other fields.

Confirm departure notification DE-003-07

Select the following statement:

ST-FI-02 – Confirmation of departure notification as per art.4 of Regulation 3/2018 issued by Finnish Customs

Do not complete this field in advance. Make the selection only immediately before submitting the NOD notification, once all required departure-related notifications have been submitted.

This selection confirms to the authorities that all information required for the vessel's departure has been submitted.

Ship information

Complete the vessel information in this section.

Provide the information if it has changed or has not been reported previously.

If this is the vessel's first port call in NEMO and the vessel information has not yet been reported, provide the information preferably through the SID and SHP notifications before submitting the NOD notification.

The technical vessel data reported in the NOD notification may also update information stored in the vessel database. If different values for the same information are reported in multiple notifications, the most recently submitted value remains valid.

Some vessel information is reported through other notifications:

  • SID: vessel identification information, such as vessel name, IMO number and MMSI number
  • SHP: general vessel information (primary notification for permanent vessel data)
  • CRT: vessel certificates

Actual maximum draught DE-017-03

Enter the vessel's departure draught in metres corresponding to the vessel's condition at departure.

Ship type DE-005-16

Select the vessel type according to its official documents.

Examples of available values:

  • 840 – Tug, single
  • 843 – Pushboat, single
  • 815 – Freight barge
  • 816 – Tank barge

Ship breadth DE-008-13

Enter the vessel's maximum breadth in metres according to its official documents.

The field is automatically populated with information found in the selected vessel record in the NEMO vessel database. Change the value only if necessary. Complete the field if it is not populated automatically.

Ship breadth must be reported together with Ship length overall (DE-008-25).

Protruding parts description DE-014-30

Provide a description if the vessel or its cargo includes protruding parts that may affect port entry, berthing or port arrangements. For example, where cargo extends beyond the width of the vessel's deck or hull.

Ship deadweight tonnage DE-008-29

Enter the vessel's deadweight tonnage in metric tons according to its official documents.

The field is automatically populated with information found in the selected vessel record in the NEMO vessel database. Change the value only if necessary. Complete the field if it is not populated automatically.

Ship deadweight tonnage must be reported together with Ship gross tonnage (DE-008-27).

Ship length overall DE-008-25

Enter the vessel's maximum overall length in metres according to its official documents.

The field is automatically populated with information found in the selected vessel record in the NEMO vessel database. Change the value only if necessary. Complete the field if it is not populated automatically.

Ship gross tonnage DE-008-27

Enter the vessel's gross tonnage according to its Tonnage Certificate or another official document.

The field is automatically populated with information found in the selected vessel record in the NEMO vessel database. Change the value only if necessary. Complete the field if it is not populated automatically.

Ship net tonnage DE-008-28

Enter the vessel's net tonnage according to its Tonnage Certificate or another official document.

The field is automatically populated with information found in the selected vessel record in the NEMO vessel database. Change the value only if necessary. Complete the field if it is not populated automatically.

Ship Flag state DE-005-09

Select the vessel's Flag State according to its registration information and certificates.

The Flag State must correspond to the nationality shown in the vessel's official documents.

The field is automatically populated with information found in the selected vessel record in the NEMO vessel database. Change the value only if necessary. Complete the field if it is not populated automatically.

Ship Flag state must be reported together with Ship registry (DE-005-10).

Search for and select the vessel's Port of Registry (UN/LOCODE) from the list.

Either this field or Ship registry port name (DE-005-11) must be provided.

Enter the name of the Port of Registry if it cannot be found in the list.

Select the registry in which the vessel is registered.

Ports of call

Complete this section with the vessel's next port of call after departure from the current port.

Next port of call DE-022-08

Search for and select the port (UN/LOCODE) that the vessel will proceed to immediately after departing from the current port.

If the port is unknown, select ZZUKN – Unknown port and also complete Itinerary subordinate port name (DE-022-14).

Enter the name of the port in the vessel's itinerary that corresponds to the reported UN/LOCODE.

Date and time of departure - estimated DE-022-05

Enter the vessel's estimated date and time of departure from the port of departure.

The field is automatically populated with information entered when the port call was created, if such information was provided.

Update the information without delay if the estimate changes by more than two hours from the previously reported estimate.

Applicable Pilotage Exemption

Complete this section if the vessel is exempt from pilotage for the movement in question.

Pilotage exemption DE-083-01

Select Yes if the vessel has a valid pilotage exemption and does not use a pilot when arriving at the port. The exemption may be based on a Pilot Exemption Certificate (PEC) or on an exemption granted by Traficom for a specific voyage.

If you select Yes, also complete Pilotage exemption certificate number (DE-083-02).

Enter the PEC number or the reference number of the exemption granted to the vessel by Traficom. If the vessel has multiple valid exemptions, add each exemption separately.

Cargo and persons

Cargo brief description DE-014-16

Provide a brief description of the cargo that the vessel intends to discharge or load.

More detailed cargo information must be reported in the CGD notification.

Dangerous goods carrier DE-014-11

Select Yes if the vessel carries dangerous or environmentally harmful goods.

More detailed information on dangerous goods is reported in the HZD notification.

Number of crew DE-034-03

Enter the number of crew members on board.

More detailed crew information is reported in the CWD notification.

Number of passengers DE-034-02

Enter the number of passengers on board.

More detailed passenger information is reported in the PXD notification.

Number of persons on board DE-034-01

Enter the total number of persons on board (POB = persons on board). The total includes both passengers and crew members.

Stowaways are not included in the passenger count and must be reported separately in the Stowaways found field (DE-034-04).

More detailed passenger and crew information is reported in the PXD and CWD notifications.

Master given name DE-012-08

Enter the Master's given name as shown in the travel document or another official document.

If the document contains multiple given names, report all of them in the same format as shown in the document.

If no given name is separately indicated in the travel document, enter the same name as reported in the Master family name (DE-012-01) field.

Enter the Master's family name as shown in the travel document or another official document.

If the family name contains a prefix (for example, "von Berg" or "de la Cruz"), report the full name including the prefix.

If no family name is separately indicated in the travel document, enter the same name as reported in the Master given name (DE-012-08) field.

Stowaways found DE-034-04

Select Yes if stowaways have been detected on board.

Regular shipping service DE-014-20

Select Yes if the vessel operates a Regular Shipping Service within the EU.

Regular shipping service identifier DE-014-21

Enter the 17-digit Regular Shipping Service (RSS) authorisation number issued by the competent authority.

Complete this field only if the vessel operates a Regular Shipping Service (DE-014-20).

Enter the shipping company's internal reference number identifying the port call.
