CWA Crew List at Arrival

The CWA notification is used to provide information on the crew members of a vessel arriving at a port in Finland. The notification corresponds to IMO FAL Convention Form 5 (Crew List).

For each crew member, at least the following information must be provided: given name, family name, gender, nationality and date of birth.

Exceptions to Crew Reporting Requirements

The notification is not required in situations where reporting obligations do not apply under section 3 of the Vessel Traffic Services Act.

Required fields

Complete this field if you wish to provide additional information related to the notification that cannot be reported in other fields. For example, you may describe an exception or provide clarifying information related to the crew list, a crew member's details, or the processing of the notification.

If you have no additional information to provide, leave the field blank. Do not repeat information already reported in other fields.

Crew Member Information

Provide details of the vessel's crew members in this section. Each crew member must be reported on a separate row.

A crew member is a person employed or engaged in any capacity on board the vessel and present on board upon arrival at the port.

Do not report passengers in this notification. Passenger information must be reported using PXA and PXD notifications.

Crew member rank or rating DE-035-14

Select the crew member's rank or qualification (STCW qualification) on board.

Examples of available values:

• 10100 – Master / Captain
• 10110 – Chief Officer / First Officer
• 10150 – Chief Engineer
• 10210 – First Engineer Officer
• 10330 – Electro-Technical Officer (ETO)
• 10400 – Boatswain
• 10420 – Able Seafarer Deck (AB Deck)
• 10450 – Ordinary Seafarer Deck (OS Deck)

If the crew member does not hold an STCW certificate of competency (for example, a crew member on a recreational vessel), select the closest matching general designation, such as 10460 – Deckhand / General Deck Crew (without qualification).

Person gender DE-035-08

Enter the crew member's gender as shown in the travel document.

Available values:

• 0 – Not known
• 1 – Male
• 2 – Female
• 9 – Not applicable

Use:

• 0 – Not known only if the gender is not indicated in the travel document.
• 9 – Not applicable when the travel document contains the marker X or another designation other than male or female.

Person given name DE-035-03

Enter the crew member's given name as shown in the travel document.

If the document contains multiple given names, report all of them exactly as shown.

If no separate given name is indicated in the travel document, enter the same name as reported in Person family name DE-035-02.

Person family name DE-035-02

Enter the crew member's family name as shown in the travel document.

If the family name includes a prefix (for example, von Berg or de la Cruz), report the full family name including the prefix.

If no separate family name is indicated in the travel document, enter the same name as reported in Person given name DE-035-03.

Person country of birth DE-035-07

Select the crew member's country of birth as shown in the travel document.

If the country of birth is not available in the list, leave this field blank and enter the country and place in Person place of birth name DE-035-06, for example “Pristina, Kosovo”.

Person place of birth name DE-035-06

Enter the crew member's place or city of birth as shown in the travel document.

Person date of birth DE-035-05

Enter the crew member's date of birth as shown in the travel document.

If the date of birth is not provided in full in the travel document (for example, only the year of birth is given), report the date as accurately as possible and use the value 01 for any unknown parts, for example 01.01.1980. In such cases, provide an explanation in Remark DE-003-01.

Nationality

Person nationality DE-035-04

Select the nationality as shown in the travel document.

If the crew member is stateless or travels using a special machine-readable travel document, use the special codes defined in ISO/IEC 7501-1:

• XXA – Stateless
• XXB – Refugee (1951 Geneva Convention)
• XXC – Refugee (other than the 1951 Geneva Convention)
• XXX – Nationality unspecified

If the crew member holds multiple nationalities, report each nationality in a separate field. Enter first the nationality corresponding to the travel document used for this port call.

Travel Document

Person identity or travel document type DE-035-16

Select the type of document presented by the crew member.

Available values include:

• 36 – Identity Card
• 39 – Passport
• 101 – Registration Document
• 718 – Seaman's book

Report the identity or travel document used by the crew member for this port call. If the crew member holds several travel documents, report primarily the document corresponding to the declared nationality.

Use primarily:

• Passport (39) when the crew member crosses the external border of the Schengen Area.
• Seafarer's Identity Document (718) in situations permitted under the STCW Convention and national regulations, for example when crossing a border within the port city.
• Identity Card (36) for EU/EEA citizens travelling within the Schengen Area.

A travel document refers to an official document used to establish the holder's identity and right to international travel.

Person identity or travel document number DE-035-17

Enter the document number exactly as shown in the document, without spaces or separators. Use uppercase letters and numbers as displayed.

Check the number carefully. The document number is used during border control procedures, and errors may cause delays.

Person identity or travel document expiry date DE-035-22

Enter the expiry date shown in the document.

The expiry date must be the same as or later than the arrival date of the port call and should generally remain valid for at least three months beyond the intended departure date. If the document has already expired or will expire during the port call, obtain a new document before submitting the notification or contact the Finnish Border Guard if necessary.

Person identity or travel document issuing nation DE-035-18

Select the country that issued the identity or travel document.

Person visa number DE-039-10

Enter the visa number exactly as shown on the visa sticker or visa decision, without spaces.

A Schengen visa number is typically nine digits. If the crew member holds visas issued by several Schengen countries, report the visa used for this voyage.

If the crew member does not require a visa (for example, an EU/EEA citizen or a visa-exempt third-country national), leave the field blank.

Residence permit number DE-039-09

Enter the residence permit number exactly as shown on the residence permit card or document, without spaces.

If the crew member has both a visa and a residence permit, report both. During border control, the residence permit is normally used as the primary document when valid.

If the crew member does not have a residence permit, leave the field blank.
